Getting started with Scheduling

What Scheduling does, which plan it is on, and connecting your company's Microsoft 365 calendars.

What it is

Scheduling gives each person a booking page at lynkarr.com/meet/your-name. People pick a meeting type and a time; the meeting is checked against the host's calendar, written into it, and recorded with where the booker came from.

Open it from Scheduling in the side menu. The tabs are Meeting types, Meetings, Analytics, Availability, Settings, Routing, Workflows and Polls.

Scheduling is on Starter and above. On Free, the page shows Not on your plan with a See plans button.

Connect Microsoft 365

Calendars are connected once for the whole company, by an account admin or a Scheduling manager, and need a Microsoft 365 administrator to approve them. Microsoft 365 and Outlook are the only calendars supported.

  1. Go to Scheduling, then Settings.
  2. Under Company settings, choose Calendars.
  3. Press Connect Microsoft 365 and sign in as a Microsoft 365 administrator.
  4. Approve the permissions Microsoft shows. You come back to Calendars with Microsoft 365 is connected.

What the connection does

Three switches under Calendars decide it, for everyone in the company who hosts: Check hosts' calendars for clashes (times busy in Outlook are not offered), Put new meetings in hosts' calendars (Outlook sends the real invitation, with a Teams link when the meeting is on Teams), and Changes made in Outlook come back (a meeting moved or deleted in Outlook is moved or cancelled here).

Without a connection, bookings are not checked against anybody's calendar and the invitation is sent from us as a calendar file.

No-shows from Teams

Once connected, Calendars shows whether No-shows from Teams is on. When it is, whether anyone joined a Teams meeting is read from Microsoft, and a meeting nobody joined is marked a no-show. If it says it is waiting for the CallRecords.Read.All permission, a Microsoft 365 administrator has to grant it; until then, mark no-shows by hand.

Who manages what

Everyone who hosts manages their own meeting types, availability and meetings, and those of the teams they are in. Account admins, and anyone ticked under Settings, Who manages Scheduling, also manage everyone else's and the Company settings.
