Giving one person a different menu than everyone else
Settings → Menu sets the company default; Team → Menu access overrides it for one person, in either direction.
The two settings, and which wins
Settings → Menu is the company-wide default. If Forms is hidden there, nobody sees it — unless one of them has an individual override.
Team → Menu access is per person, and it always wins over the company-wide default for that one person, in either direction: Show means this person sees it even though the company has it hidden for everyone else, useful for the one person on a small team who actually builds the forms; Hide means this person does not see it even though the company allows it for everyone else; Follow, the default for every item, means no override — this person just sees whatever the company-wide setting says.
What it can't do
It can't lock anyone out entirely. Dashboard, Team, and Your account are always shown, to every person, regardless of any override — including an owner's own. There is always a way back in to undo a mistaken setting.
It's a menu setting, not a permission system. Hiding something from someone's sidebar keeps it out of their way; it does not block the underlying page or API if they already know the address. Role — owner, admin, member or viewer — is still what actually controls what a person is allowed to do. Menu access only controls what they see without having to ask.
To set it
- Go to Team.
- Find the person's row and select Menu access.
- For each item, choose Follow, Show, or Hide.
- Changes apply the next time that person loads the page — nothing to save separately.
