The Never-sign list: mailboxes that go out plain
Machine senders, shared mailboxes and Microsoft 365 groups that are never signed, and never billed.
What it does
On the Signatures screen, the Never sign card holds one list for the whole company. Anything on it is never signed and never billed, and it wins over every signature group: it is checked before any group is tried.
Use it for machine senders like noreply@, or a shared mailbox that should go out plain.
It comes with the Signatures add-on, on Business and Enterprise.
Adding to it
- Open Signatures and find Never sign.
- Press Mailbox, Microsoft 365 group or Address.
- If you like, type why it is on the list.
- For a mailbox or a group, type a name to find it in your Microsoft 365 directory and pick it; shared mailboxes are listed too. For an address, type it and press Add.
Microsoft 365 groups on the list
A group's members are whoever the last directory sync found in it. Somebody added to the group in Microsoft 365 stops being signed after the next sync.
What it does to the bill
Signatures is billed at $1 a month for each covered mailbox: a mailbox one of your signature groups would sign, less everything on the Never-sign list. The Signatures screen says how many mailboxes are signed, and that this is what Signatures is billed on.
Test an email shows sender is on the Never sign list when the list is why a sender got no signature.
